Information handling

Agree who can access
your project information.

Project information handling is defined at engagement setup. The controls below form the discussion and delivery checklist, subject to the client’s systems and requirements.

Agree the information boundary

Identify the systems of record, registers to maintain, information categories and authorised contacts. Avoid sharing entire project drives when a limited folder or project role is sufficient.

Use named access

Use named accounts and appropriate roles where the client system supports them. Agree multi-factor authentication, approved devices and who may grant or revoke access. Do not send passwords through the website enquiry form.

Keep the source traceable

Maintain document references, revision history and correspondence links. Agree where working files can be stored and how they are returned or removed. Technical acceptance and contractual decisions remain with authorised client personnel.

Remote delivery and third parties

Delivery from Indonesia means project access may cross borders. Agree this explicitly, including any client restrictions, approved service providers and information that must remain within particular systems or locations.

Agreed tools and handling

Agree permitted tools, information categories, provider settings, storage and cross-border handling before project information is processed. Client restrictions govern access and use. Teddy reviews externally issued administrative work; technical, contractual and commercial decisions remain with authorised client personnel.

Specialist production resources

Separately scoped drawing or quantity production may use trusted collaborators with prior project experience alongside Teddy. He coordinates and reviews the agreed output before issue. Agree suitable resources, confidentiality, minimum necessary access, review responsibilities and any overseas handling before sharing project files.

Respond and hand over

Agree a contact route for suspected information incidents and the responsibilities for assessment and notification. At the end of the engagement, hand over current registers, identify outstanding actions and arrange removal of access and working copies in line with the contract.

Assurance

No security accreditation or certification is claimed. Specific contractual, regulatory or client requirements must be assessed before accepting access to project information.
